The data quality requirements

CSRD data must be: complete (all required datapoints, no unexplained gaps); accurate (traceable to source records); consistent (same methodology year-over-year); and timely (available within the filing window).

Most companies find that existing data fails at least one of these tests. Common problems: energy data not reconciled to invoices; headcount data inconsistent between HR and finance systems; health and safety data in paper records not digitised; Scope 3 data entirely estimated with no supplier engagement.

Building compliant data infrastructure requires a systematic mapping of each required ESRS datapoint to its source system, followed by a gap analysis of data quality.

Step 1 — Data mapping: For each ESRS datapoint you need to report, identify which system it comes from, who owns it, and what format it is in.

Step 2 — Quality assessment: For each data source, assess quality against the CSRD requirements. Identify gaps, inconsistencies and reliability issues.

Step 3 — Process design: Design the collection, validation and consolidation process for each data stream. Assign ownership. Set collection frequencies.

Step 4 — System implementation: Implement the collection system — whether a dedicated ESG platform like ESGMaster or a structured spreadsheet architecture for smaller companies.

Not necessarily for small companies. For 250–500 employee companies with limited ESRS exposure, well-structured spreadsheets with clear audit trails can work. For 1,000+ employee companies with complex value chains, dedicated ESG software significantly reduces risk and effort.

How long does it take to build Scope 3 data infrastructure?

12–18 months for a complete Scope 3 programme including supplier engagement. The spend-based screening (Category 1 estimate) can be done in weeks. Primary supplier data for material categories requires relationship building over time.

Can we restate prior year data if our methodology changes?

Yes — ESRS requires restatement of prior year comparatives when methodologies change significantly. The restatement must be disclosed with an explanation of why the change was made.
